Business and Legal Affairs Assistant

Experience Required: At least 2-3 years of administrative experience required, highly preferred legal administrative experience, and previous experience or interest in working in the television sector is a bonus. Metro-Goldwyn-Mayer Studios Inc. (“MGM”) is seeking an assistant to provide administrative support to the Executive Vice President of Theatre and Legal Affairs on a day-to-day basis. The successful candidate must have experience in adapting to a variety of administrative and management support tasks and be able to work well within an administrative team in an ever-changing priority environment. Tasks include: • Maintain and manage calendars, emails, and contacts • Create, format, red line, and review correspondence and other written documents such as agreements, letters, memos, and other legal documents • Prepare and submit expense reports through Concur • Perform daily administrative tasks, including answering the phone and forwarding messages, Update call logs, Meeting scheduling, photocopying, scanning, ordering office supplies, etc. – Manage travel schedules, expenses and arrangements. Responsible for booking food for meetings with guests, setting up video conferences and booking conference rooms for internal meetings. -Manage the assigned administrative tasks of the department and other tasks such as managing the department`s vacation calendar; Organization of weekly meetings and catering orders of the department; and the management of departmental telephone lists. -Assistance with legal and copyright research via the Internet or other means; Report the search results.

-Management and organization of the paper flow of lawyers and VP, including the preparation of cover letters, the preparation of contracts for signatures, the return of originals to clients, the processing of payments and submission in the system of legal electronic documents, eDocs. -Manage and organize the paper flow and find agreements for search purposes in the file system. -Create, distribute and maintain organized files and track spreadsheets (paper and electronic). -Conduct copyright research to get information about the program in PPL; Determine the availability of rights with the supervisor by searching for rights Bibles and coordinating with Tape Operations to handle dubbing requests. -Manage the strong flow of phone calls/requests; Inform applicants if additional information is needed. -Act as the Ministry`s liaison with the Finance Department to process all license payments and invoices for rights and release licenses for third party renewals. -Analyze different draft agreements to compare language and terms before execution. -Create presentations in PowerPoint and compile presentation materials. -Serves as administrative support for specific functions within the Rights and Authorizations and Standards and Practices departments. -Assist the VP in the creation of budget tables in Excel related to the budget of the L&BA department; Perform financial research and analysis with the A/P system. Software requirements: Advanced level of Microsoft Word, Excel and PowerPoint.

Summary: Provide administrative support to four executives in legal and commercial affairs, rights and permissions, standards and practices, international and digital L&BA. -Creation, review and creation of document databases (e.g. memos and terms and conditions) under the supervision of the lawyer -Creation of an S&P “watch list” for S&P executives using monthly pac reports for all channels. Interact with external executives and consultants by phone and email. Knowledge of the Internet or the system preference.
